The Code of Ethics of PT. Pemindo Mitra Sinergi establishes general ethical behavior guidelines for staff, emphasizing professionalism and diligence in performing duties. All employees of PT. Pemindo Mitra Sinergi must adhere to professional conduct when interacting within the organization, as well as with Clients, Customers, and external parties. This Code of Ethics is always attached to the Offer Letter for new employees to understand.
Receiving or Providing Monetary or Non-Monetary Benefits
Employees must not accept any form of monetary or non-monetary benefits from Clients or Customers at any time. Employees are also prohibited from offering monetary or non-monetary rewards to Clients, Customers, or local government officials in exchange for facilitating operations in new locations. Employees must not engage in personal financial transactions with Customers or Clients (such as borrowing or lending money, borrowing or lending IT devices) beyond work-related operations of the company.
Accuracy in Organizational Records and Reporting
Employees must never report false or misleading information regarding work, expense reimbursements, Customer profiles, Client profiles, etc.
Confidentiality of Proprietary Information
Employees must not disclose confidential and/or proprietary technical and non-technical information such as current marketing plans, operational strategies, budgets, long-term strategic plans, product development, and personnel information to unauthorized external parties. Employees must not, directly or indirectly, disclose or use any confidential information of PT. Pemindo Mitra Sinergi for the benefit of any individual, firm, corporation, or other business organization.
Information Security
Employees must not share, modify, or delete login passwords or access rights with other employees or supervisors unless otherwise specified. No employee may use another employee’s personal computer system to send emails, perform system updates, or access any files, whether in the presence or absence of the respective employee.
Granting Privileges to Family Members or Relatives
Employees must not exhibit any bias in the selection of Customers, Clients, or Suppliers. The selection of Customers, Clients, or Suppliers must be conducted objectively while prioritizing the best interests of PT. Pemindo Mitra Sinergi, as outlined in the Operational Manual/Account Manual.
Courtesy to Customers, Clients, and Suppliers
All employees of PT. Pemindo Mitra Sinergi are required to smile, be polite, and be friendly to Customers, Clients, and Suppliers when meeting them and when passing by Customers in the showroom.
Outside Work Activities
As employees of PT. Pemindo Mitra Sinergi, their primary obligation is to PT. Pemindo Mitra Sinergi and its shareholders. Employees must avoid any personal financial activities or interests that could negatively impact their independence or objectivity in judgment, interfere with the timely and effective execution of their duties and responsibilities, or discredit, embarrass, or conflict with the best interests of PT. Pemindo Mitra Sinergi. Employees must obtain approval from the COO or CHRO before engaging in an external directorial position or honorary work. No external activity may involve the use of PT. Pemindo Mitra Sinergi’s name, trademark, influence, assets, facilities, or employees unless explicitly authorized or sponsored by PT. Pemindo Mitra Sinergi.
Protecting Company Assets
Employees must safeguard all company assets under their control. Telephone, email, and internet facilities are provided to employees for business purposes, and personal communication should be minimized. Every employee is responsible for protecting company assets from loss, theft, and misuse. Assets include cash, equipment, inventory, computer software, systems, and other intellectual property.
Religious and Political Beliefs
Employees must not actively serve as officials in any political party. Employees must not give others the impression that their actions reflect the views of PT. Pemindo Mitra Sinergi.
Workplace Harassment
PT. Pemindo Mitra Sinergi will not tolerate harassment against its employees by anyone, including directors, managers, coworkers, vendors, or clients. Harassment includes unwelcome behavior, whether verbal, written, or physical, based on gender, race, caste, religion, age, disability, veteran status, job position, or nationality. PT. Pemindo Mitra Sinergi will not tolerate any harassment that disrupts an individual’s performance or creates an intimidating, hostile, or offensive work environment.
Prohibition of Criminal Activities
No employee of PT. Pemindo Mitra Sinergi may engage in any activity considered illegal under Indonesian law. Employees aware of any violations of this policy must immediately notify their Department Head, direct supervisor, or Human Resources representative.
No Lending or Borrowing Money Among Employees
Employees of PT. Pemindo Mitra Sinergi must not lend or borrow money from other employees, Clients, or third parties working with PT. Pemindo Mitra Sinergi as suppliers of goods or services. Employees must report to their supervisor if, under unavoidable circumstances, they borrow or lend money for emergency purposes from another employee, Client, or third party as mentioned above. If the employee is unable to repay the loan, they must not hold PT. Pemindo Mitra Sinergi liable in any way.
Conclusion
Violations of the Code of Ethics may result in disciplinary action, including termination of employment. PT. Pemindo Mitra Sinergi (after obtaining approval from the Board of Commissioners) may also take legal action against an employee if deemed necessary.
